Professional services pack

The Professional services pack runs your firm from quote to signed SOW to delivery in Jira, with rate cards, quote margin and a pipeline that knows whether your people have the capacity to deliver it.

Who it is for

Consultancies, agencies and other services firms that sell people's time. The Professional services pack is generally available and installs whole on every Rainbook edition, the free tier and Jira Free.

Quotes and statements of work

The pack adds two work types to your CRM space and an SOW in review stage to your Deal workflow, between Propose and Negotiate.

Work typeStatuses
QuoteDraft, In review, Sent, Accepted, Rejected, Expired
SOWDrafting, Internal review, Client review, Signed, Active, Complete, Cancelled

A new version of a quote copies it and links the two ("supersedes"). A change order is an SOW of kind Change order, linked to the SOW it amends.

From quote to delivery

  1. Create quote. On a deal, Create quote fills in the account, estimated hours, delivery role, practice and engagement model. The quote total comes from your rate card's bill rate for that role, or from the deal amount when there is no rate.
  2. Quote accepted. Rainbook proposes creating the SOW from the quote; when it is approved, the SOW is created with every value carried across.
  3. SOW signed. When every original SOW on the deal is signed, active or complete, the deal owner gets a proposal to mark the deal won.
  4. Deal won. Rainbook offers the hand-off to delivery. Start delivery creates the delivery epic, named after the account and the SOW, with the contacts and an AI hand-off brief (scope, commitments, contacts and roles, risks raised in email, open questions), and you can undo it for 7 days. Propose handoff sends it to the people who run delivery to approve. Not now leaves both options on the deal.
  5. SOW active. Burn % and the retainer balance update every night from the time your team logs in Jira. At 80% burn, the SOW owner gets a notification and a follow-up.

Delivery time comes from native Jira time tracking on the delivery epic and its children, so you don't need a separate timesheet tool.

Rate card, capacity and capacity fit

Two reference tables live in Rainbook, edited in the workspace grid or uploaded as CSV:

  • Rate card: each role's bill rate and loaded cost rate, with the dates they apply.
  • Capacity plan: each role's available hours per month.

Every open deal with estimated hours, a delivery role and a planned start gets a Capacity fit. Rainbook spreads the deal's probability-weighted hours across its months, adds the hours already committed on active SOWs and the deals ahead of it, and compares the busiest month with the hours you have: Green at 85% or less, Amber up to 100%, Red above 100%, Unknown when the role has no capacity row. It updates every night and whenever an input changes, and the board shows a capacity badge on each deal.

Try: "Which roles are over capacity next quarter?"

Quote margin

Every quote shows Quote margin %: the quote total minus estimated hours at the role's cost rate, as a share of the total. It updates when the total, hours, role or rate card changes, and shows in the grid, Ask and Reports. Set a minimum margin in the pack settings and a quote that falls below it raises a discount approval; the same happens when a discount passes your threshold (15% to begin with).

Fields

All native Jira fields: Practice, Engagement model, Estimated hours, Primary delivery role, Planned start, Duration (weeks), Capacity fit, Quote version, Quote total, Valid until, Discount %, SOW kind, SOW value, Committed hours, SOW end, Billing schedule, Burn %, Retainer balance (hours), Signed date, Target margin %, Quote margin %, Cost assumptions, Floor price and Discount rationale.

Views, dashboard and metrics

Saved views: Open quotes, Quotes expiring in 7 days, Active SOWs (by burn) and Deals at capacity risk.

The services dashboard shows bookings, win rate and margin by practice, capacity by role and SOW burn.

Metrics: Bookings (SOW value signed in the period), Win rate, Backlog (active SOW value not yet burned), Utilisation forecast per role and month, Quote cycle (median days from draft to accepted), Change orders per account and Margin by practice.

Try: "What was our quote margin by practice last quarter?"

Health signals and rules

Health adds three services signals: burn running more than 20 points ahead of elapsed time, more than two change orders in 90 days, and overdue work under the delivery epic.

Rules, all on when you install the pack: capacity fit, quote to SOW, SOW signed to deal won, nightly burn, burn alert at 80%, quote expiry reminder 3 days ahead, discount approval and margin approval. Margin approval stays quiet until you set a minimum margin.

Get started
