  • The add-ins need Rainbook Mail Sync and an active Rainbook subscription on the same Jira site.

Email and meetings on the record

Rainbook Mail Sync brings Microsoft 365 and Google Workspace mail and meetings onto Jira work items from Atlassian's cloud, with no server of ours in between. In regulated mode, email bodies and files are held in Rainbook's regulated store in your site's Forge storage instead.

  • Rainbook Mail Sync needs an active Rainbook subscription.
  • In December, your IT admin connects Microsoft 365 or Google Workspace capture, labelled beta. Personal and self-serve Gmail capture has a waitlist.
  • Captured email is visible to everyone who can open the account or deal it belongs to; an admin can narrow it to CRM users with one switch.
  • Regulated mode and Confidential records are in Advanced and need Jira Standard or above.
  • The Free edition, for Jira sites of 1 to 10 users, includes the sidebars, with no background capture and no AI paid for by Rainbook.

Jira decides who sees what

Every record, email and report follows Jira permissions and security levels, in the workspace, the sidebars and Rovo.

  • On Jira Free, everyone on the site sees every record and captured files aren't stored.
  • Rovo search and chat can show Rainbook records, attachments and Confidential records to people Jira allows to see them, including in regulated mode; the setup checklist shows admins how to block Rovo for Jira.
  • AI clients connected to Atlassian's MCP server (Claude, ChatGPT, Codex, Cursor) can read every Rainbook work item a user can see in Jira, and clients with write access can edit those items; admins limit this in Atlassian Administration.

Uninstall and keep your CRM

Deals, accounts, contacts and conversations stay in Jira as work items with their fields, comments and attachments.

  • Rainbook's own indexes and AI working state are not kept, except what the nightly Rainbook Archive item holds.
  • In regulated mode, email bodies and files are held in Rainbook's regulated store and are deleted within 24 hours of uninstalling; download the archive first. Confidential records stay in your restricted Confidential space.
