Rainbook end user terms
Effective 20 October 2026. These terms are between your organisation ("you") and Human Renaissance Corporation ("we"), the provider of Rainbook, Rainbook Mail Sync, the Gmail add-on and the Outlook add-in (together, "the apps").
1. Acceptance of terms
By installing or using the apps you accept these terms. They add to the Atlassian Marketplace terms of use and the Atlassian customer agreement under which you buy the apps. If you don't accept them, don't install or use the apps.
2. Description of the service
Rainbook is a CRM that runs inside your Jira Cloud site: deals, accounts, contacts, email and meetings are Jira work items, with reports, AI features and sidebars for Gmail and Outlook. Rainbook Mail Sync captures customer email and meetings from Microsoft 365 or Google Workspace onto those work items; it and the add-ins need an active Rainbook subscription on the same Jira site. The apps run on Atlassian's Forge platform, and the data they hold stays in your Jira site and Atlassian-hosted storage for it.
3. Licence grant
While your subscription is active, we grant you a non-exclusive, non-transferable licence to use the apps with your Jira Cloud site. You may not sublicense, sell or redistribute the apps; reverse engineer them except where the law allows it; remove proprietary notices; or use them to build a competing product.
4. Acceptable use
You agree not to use the apps to:
- break any law or anyone's rights, including by capturing mailboxes your organisation isn't allowed to capture;
- send malicious code, interfere with the apps or overload them on purpose;
- get around permission checks, licence checks or usage limits, or reach another customer's data.
Connect only mailboxes your organisation is allowed to capture, and tell the people concerned as your local law requires.
Sensitive data. You must not use Rainbook to process sensitive personal data (as defined in Atlassian's developer terms), protected health information or ITAR technical data. No business associate agreement (BAA) is offered. Rainbook masks payment card numbers and US Social Security numbers wherever it writes text; attached files, file names, images and text typed directly in Jira's own screens are not scanned.
5. Data processing
We process data as the privacy policy and the data processing agreement describe. In short:
- Your data stays yours and stays in your Jira site and the Forge storage Atlassian hosts for it. We keep no copy of your CRM data or email outside them, apart from diagnostics an admin chooses to share with our support team.
- Who sees what follows Jira: anyone Jira lets see a record sees all of it, and Rainbook's AI sees only what the person using it can see.
- Usage analytics and error reports: usage analytics go to PostHog with pseudonymous IDs; error reports go to Sentry with the error type, an error message stripped of names, addresses and content, stack frames and a scrambled site ID only. Neither carries names, email addresses or record content. Admins switch them off in Atlassian's admin controls.
- Residency follows your Jira site's data residency region for everything the apps store. Rainbook Mail Sync isn't pinned to a location, because it reads mail and calendars through Google's or Microsoft's services, under your own tenant's settings.
You are responsible for your organisation's lawful basis for the data you put in the apps, and for answering requests from the people in it; the apps give your admins the tools to export and erase a person.
6. Intellectual property
The apps, their code, design and documentation belong to Human Renaissance Corporation. Your data, your records and the configuration you create are yours; we claim no rights in them beyond what we need to provide the apps.
7. Service availability and support
The apps run on Atlassian's platform, so their availability follows Atlassian's for Jira and Forge, and capture depends on Google and Microsoft. When one of them is unavailable, the matching feature waits and resumes. Our service levels are published on the service levels page: first response within one business day, Monday to Friday, and within 2 hours, around the clock, for critical issues. Support hours are Monday to Friday, 09:00 to 17:00 New York time, except US federal holidays; write to support@rainbook.humanr.ai.
Rainbook Beta and Rainbook Mail Sync Beta are for design partners. They come without service levels, should hold only the data you need for the evaluation, and move to the listed apps at conversion, keeping the same Jira work items.
8. Subscription, payment and AI limits
The apps are sold through the Atlassian Marketplace. Atlassian handles pricing, billing and refunds under its Marketplace terms. Features vary by edition as the Marketplace listing describes.
Rainbook's AI is included in your subscription, with fair-use limits. Each person can run up to 25 Ask analyses a day, within a monthly fair-use limit for each person; questions that fit a report don't count. Summaries and other automatic AI draw on their own monthly pool. Your admins can lower the limits or give a person more. Reports, search and everything else keep working.
9. Termination
- By you. You may uninstall the apps at any time. Your deals, accounts, contacts and email stay in Jira as work items with their fields, comments and attachments, with the Rainbook Archive work item. Atlassian deletes Rainbook's Forge storage at the end of its retention period. When you uninstall Rainbook Mail Sync, capture stops and Mail Sync revokes the Google sign-in tokens of people who connected their own Google mailbox, most recently used first. Atlassian deletes the app's Forge-hosted data 28 days after uninstall; a reinstall requested within 21 days can be relinked to that data.
- By us. We may suspend or end your access if you break these terms, with notice where practical.
- By Atlassian. Atlassian may remove or suspend the apps under its Marketplace policies.
When your licence ends, your right to use the apps ends with it.
10. Limitation of liability
To the extent the law allows, our total liability for any claim about the apps is limited to what you paid for them in the 12 months before the claim, and we are not liable for indirect, incidental, special, consequential or punitive damages, including lost profits, lost data or business interruption. We are not liable for the acts of Atlassian, Google, Microsoft or other platforms the apps run on.
11. Disclaimer of warranties
Apart from what these terms say, the apps are provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We don't promise that the apps meet every requirement or run without interruption or error.
12. Governing law
These terms are governed by the laws of the State of Delaware, United States, and its courts decide any dispute about them, without regard to conflict-of-law rules.
13. Changes to these terms
When these terms change, we publish the new version on this page and change the effective date above. We email material changes to your licence's contacts before they apply. Continuing to use the apps after a change takes effect means you accept it.
